Kalo Sport Holiday Camps (Hazelwood Sports Club) Important Information

Dear parent/carer,

We look forward to welcoming your child(ren) to Hazelwood Sports Club for our tennis and multi-sport holiday camp. This camp is registered with Ofsted (URN: EY496451). A reminder of the facility address:

Access via car is down the side path where you will see a large Hazelwood and Kalo Sport sign on Ridge Avenue. If walking please use the entrance via Devonshire Gardens.

Sign In/Out

Sign in takes place with the camp manager in the clubhouse shown in the diagram below. You have provided us with all important information that is stored on our central system and provided to our camp manager on site each day.

Sign in time is:

8.30am-9am (we will not be allowing children to sign in at any earlier time and will not be held responsible for any child left on site prior to 8.30am and not signed in with us thereafter this time).

Sign out takes place at:

12pm (if your child is AM only)

3pm (if your child is full day)

5pm (if your child is extended day – earlier pick-up is of course not a problem).

Pre-schoolers

We do allow children aged 4 but not yet in school to attend our camps. Due to our Ofsted registration we follow childcare guidelines with one being that children aged 4 (still in pre-school) can only attend camp for a maximum of 4 hours per day. We therefore only permit this age to attend from 9am-12pm (drop-off from 8.30am). If your child is in reception at the time of their camp session they can attend the full day.

All children who attend camps must be potty trained. Respectfully, if not and it’s deemed by us they are not we will not continue to allow the child to attend the camps and offer a full refund.

What to bring

  • Sports appropriate clothing (we have indoor and outdoor facilities at Hazelwood so children will never be in bad weather)
  • All children should bring their own water bottle which can be refilled on site and we advise it is labelled
  • Only trainers should be worn – no football boots
  • In the summer – a hat is advisable
  • All children will have a morning break, lunch (if full day) and afternoon break (if full day) – we advise they have healthy snacks for energy during these breaks and a packed lunch is mandatory for full day children
  • It is highly advisable that children have their own tennis racquet but we can provide one to borrow on the day for those who do not have one
  • Children are permitted to bring electronics but please see below for the rules

Technology/Gadgets

After much feedback and consultation with our parent customers, we now will not allow primary aged children to have a phone in the clubhouse. They can bring phones to camp but they are to be kept securely in the club’s office with the club manager – not in bags. Secondary school aged children (who we have separated from primary aged on breaks/lunch) are permitted to bring phones and they are always monitored/overseen by a staff member at all times.

Games consoles ie Nintendo Switch are permitted.

Tech/Gadgets are brought in at your own risk. We will not be held liable for loss/damage/theft.

Warm Weather

We are very fortunate at Hazelwood to have exceptional indoor and outdoor facilities. In the extreme heat our plans are as follows:

  • The indoor sports dome is actually very cool in the summer mornings (cooler than outside in the sun). We therefore keep primary aged children out of the sun in there in the mornings. Our secondary aged group will be on the outdoor clay courts where there is shade for breaks.
  • In the afternoons, weather dependent, children will either be in the dome, on the grass or in the indoor sports hall which is air conditioned (usually our youngest age group). We will make decisions on the day as we see fit regarding weather/numbers we have but rest assured we will always ensure children are safe and hydrated.

Suncream 

We expect children to come to camp with suncream applied and more with them to re-apply. In the priority of safety we will have suncream on site and if we deem it is necessary for a child to have suncream applied then we will.

Cancellations/Reimbursements

We are happy to reimburse any parent who wishes to cancel their booking providing we are given 48 hour’s notice before the start of the booking. Our full Terms and Conditions can be read here https://kalosport.com/terms-and-conditions/.

If your child is not able to attend camp within 48 hours of the session then we are happy to offer a credit for a future camp date to be attended within 12 months.
